What it's for
Put an end to expired documents discovered at the wrong time — the clearance certificate expired on the day of the bid, the policy expired on the day of the claim. Every document has an expiry date, an owner and an alert with configurable lead time.

How to

The numbers on top, the records below
The panel’s indicators stay at the top; below, the standard list with the records behind them — search, filters in the side panel, saved views, columns and export. Click a record to open its form.

Rules

Versions are never lost
Uploading a new file does NOT replace the previous one: it creates version 2, 3, 4... with the previous one preserved on the timeline. Renewing a certificate becomes a new version of the SAME document — the history tells the whole story.
Status is calculated, not typed in
VALID, EXPIRING and EXPIRED are derived from the expiry date and the alert's lead time — a daily job reassesses all of them and nobody needs to remember to update. ARCHIVED is the only manual decision: the document leaves the radar without being deleted.
The alert reaches whoever can act on it
When the document enters the expiry window (default: 30 days before), the RESPONSIBLE person receives the notification — not a generic mailbox. A document without an owner doesn't notify anyone: fill in the field.

Frequently asked questions

Where do the bytes live?
The physical file lives in the platform's storage (single catalog, with deduplication and a download trail); this screen only keeps the meaning: what the document is, how long it's valid and whose responsibility it is. Deleting a document sends the versions to the trash — nothing is destroyed on the spot.
