Week 6Tenkai module
What this module does: Your company's assistant and its governance: what it knows, where it speaks, what it can decide on its own — and the trail of everything it answered.
The steps below apply to every company that uses the module; your industry's block adds what is specific to your operation.
Who it is for: whoever wants to put the Tenka agents to work — the Reconciler, the Buyer, assisted closing, receipt forecast, scheduled questions — with rules written by the company and control over how much each agent can do on its own.
What you have at the end: Tenkai knowing how your company talks, the policies applying to every decision, each agent at the autonomy level you chose and the accountability of each: what it saw, what it decided and how much it saved.

How the menu is organized (read before you start) (Tenkai module)
The agents live in Improve ▸ Digital employees. What they know and what they can never see is in Registers and settings ▸ Platform and security.
| Where | What lives there |
|---|---|
| Improve ▸ Digital employees | Digital employees (the showcase), Agent autonomy, Company policies, Agents inbox, Digital employees office, Tenkai Transparency Center, Tenkai decision trail |
| Registers and settings ▸ Platform and security | Tenkai context, Data Tenkai cannot see, Tenkai channels |
Where agents usually go wrong
- Starting at EXECUTE. Without a month at SUGGEST, nobody knows whether the agent gets it right. Raise autonomy step by step.
- Policy only in the owner's head. The agent follows the written policy; what is not written it cannot guess.
- Empty context. Without the house glossary, Tenkai does not understand what "MP" or "OC" mean in your company.
Questions Tenkai answers after the implementation
- "What are the agents waiting on from me today?"
- "How much did the Reconciler save this month?"
- "Why did the agent suggest this purchase?"
The gates and the routine (Tenkai module)
Week 1 — what Tenkai knows and what it never sees
Week 2 — the agents, one at a time
Week 3 — trust and accountability
The routine (10 minutes a day): Agents inbox. Once a month: Transparency Center — and raise to REVIEW or EXECUTE only the step that got the whole month right. ✅ Go-live gate: at least two agents working, each step at the autonomy level the company chose, and the Transparency Center showing what each one saved.

Week 8Consulting
Who it is for: whoever sells projects and consultant hours — management, HR, IT consulting, training — with a proposal, an allocated team and billing by milestone, by package or by hour.
What you have at the end: the proposal becoming a project, the team allocated without overload, the planned × actual of each project and the margin by customer and by consultant.
Rhythm: 3 weeks. In each step there are two buttons: Open in the system and See the screen's help, both in a new tab.
How the menu is organized (read before you start) (Consultancy)
| Where | What lives there | Example in consulting |
|---|---|---|
| Sell | funnel and proposals | Opportunities, Proposals, Customer 360 |
| Deliver | the projects and the hours | Projects, PMO Cockpit, Team capacity, Log hours |
| Receive | the money | Contracts, Financial transactions |
| Know | numbers to decide | Profitability, Management income statement |
| Grow | capital and network | Receivables advance |
| Improve | people and agents | Employees, Employee cost |
| Registers and settings | what is registered once | Customers, Job positions, Roles and costs |
Where consultancies usually go wrong
- Role without a cost. Without the hourly cost of each role, the proposal goes out without a calculated margin and profitability goes blind.
- Project without planned hours. Without the plan, the PMO Cockpit has nothing to compare the actual against.
- Consultant allocated to two projects without checking capacity. Team capacity warns before the week blows up.
- Fixed scope without a phase on the hours. A Sankhya work order arriving without a phase becomes an open issue in the Project P&L: the cost does not break down by phase and the phase consumption is wrong.
Questions Tenkai answers after the implementation
- "Which projects are over their planned hours?"
- "Who on the team has free hours next week?"
- "Which customer gives the most margin?"
- "Why did project X's margin fall?"
- "What is the margin of project X?"
- "How much of the user acceptance phase have we consumed?"
The gates and the routine (Consultancy)
Week 1 — the foundation
Week 2 — from proposal to project
Week 3 — billing and margin
The partner's routine (15 minutes a week): PMO Cockpit (project overrunning), Team capacity (who is spare or short) and Profitability (the project that loses money). ✅ Go-live gate: the project shows planned × actual on its own and the partner answers "which project is losing money?" without a spreadsheet.
Week 8HR consulting in the same group
Who it is for: whoever is going to set up Tenka for an operation with two companies in the same group — one that sells software and sustaining (monthly contract, hour bank, tickets) and another that sells HR consulting (projects, training, consultant hours). What you have at the end: both companies operating, the team logging hours, billing coming out of the contract and the answer to "which customer makes a profit?" in each company and in the group. Rhythm: the same as the implementation playbook — 4 weeks, one gate per week. This guide says which screen, in what order, and what to check before moving on to the next.
- Customer portalon the customer record, the **Invite** buttonWhat to check: invite 1 or 2 friendly customers to see tickets and hours; the rest in week 4 · Who does it: Account administrator · Time: 15 min
- Contracts (overage)ReceiveContracts and billingContracts cockpitWhat to check: the unbilled overage card with the real hours: decide whether to charge, waive or warn beforehand · Who does it: Finance · Time: 20 min
- Portalcustomer recordInviteWhat to check: release the remaining customers · Who does it: Account administrator · Time: 15 min
How the menu is organized (read before you start) (HR consultancy in the same group)
Tenka separates the day's work from registers:
| Where | What lives there | Example |
|---|---|---|
| Know | numbers to decide | Management income statement, Profitability, Account view |
| Sell | funnel and proposals | Opportunities, Proposals |
| Deliver | the work the team does | Requests, Tickets, Projects, Log hours |
| Receive | money coming in and going out | Contracts, Financial transactions, Reconciliation |
| Grow | capital and network | Receivables advance, Credit score, Network referrals |
| Improve | people and agents | Employees, Payroll, Employee cost |
| Registers and settings | what you register once | Customers, Suppliers, Job positions, Request types |
The two companies. At the top of the screen is the company selector. Everything you register goes into the selected company. Before each block of this guide, check which one is active. To see both together, select both: lists and numbers start to add up the group.
What belongs to the group and what belongs to each company.
The house rule: registers belong to the group, documents belong to the company.
| Shared across the group (register once) | Separate per company (register in each) |
|---|---|
| customers — a customer can buy from both | job positions |
| suppliers | employees and hourly cost |
| items and services | request types and SLA |
| financial categories | contracts |
| profit centers | projects and requests |
| bank accounts | receivables and payables, billing and reconciliation |
| users (each one marks which companies they sign in to) |
A group register can be made exclusive to one company: on its record, mark the companies where it applies. With nothing marked, it applies to both.
The second company is created by BMCode when the group is opened. If you only see one in the selector, ask support before registering anything — a register made in the wrong company cannot be moved later, it has to be redone.
Before you start (HR consultancy in the same group)
- Send the minimum files, for both companies, separated:
- bank statement OFX or CSV for the last 3 to 6 months;
- active customers (name, CNPJ, email);
- contracts (customer, monthly amount, included hours, due date, adjustment date);
- people (name, position, employment regime CLT or PJ, salary or invoice, workload) — through a secure channel.
- BMCode runs the Profitability X-ray with this data and brings three numbers to the kickoff.
- If you are coming from another system, the migrator brings customers, suppliers, chart of accounts and payables/receivables: Registers and settings ▸ Getting started ▸ Migrate from another system.
Check: the selector shows both companies and the X-ray was presented.
Where the two companies usually go wrong
- Person in the wrong company. The consultant who serves both companies is an employee of one. The other pays for hours logged on its project — the same person is not registered twice.
- Duplicate customer. The customer who buys software and consulting is a single record; what changes is the contract, which lives in each company.
- Bank account without the company checked. A statement imported into the wrong company reconciles wrongly and looks like a defect. Look at the selector before importing.
- Hour bank without a request type that deducts. Without step 15, the overage never appears.
Going further after go-live
- Tenkai: ask "which customer loses money this month?", "how much of customer X's hour bank has been used?", "how many Tenkai credits do I have?".
- Payroll and time clock: Improve ▸ Payroll and compensation, when you want to bring payroll in.
- Recruiting: Improve ▸ People and development ▸ Recruiting — useful for the HR consultancy itself to show customers how it operates.
- Tenka Academy: Know ▸ Explore ▸ Tenka Academy, for the team to learn on their own.
The gates and the routine (HR consultancy in the same group)
Week 1 — the foundation
1.1 The account (once, applies to the group)
1.2 Finance (group register — once; the bank account says which company the CNPJ belongs to)
1.3 Customers (once, in the group)
1.4 People and hourly cost (repeat in each company)
1.5 Contracts (repeat in each company)
Week 2 — the operation
2.1 Software house: tickets and sustaining
2.2 HR consultancy: projects and training
2.3 The hours (both companies)
Week 3 — the money (each company)
Week 4 — go-live and routine
The owner's routine (15 minutes a week): Profitability (who lost money), Contracts cockpit (overage and adjustment), Account view (the group). ✅ Go-live gate: the month's margin comes out with approved hours, and the owner answers "which customer loses money?" without help — in each company and in the group.
