What Retailer chargebacks are for
Large retailers deduct debits from the factory: delivery outside the window, unreadable label, late shipping notice, wrong quantity. Here each debit becomes a record with the cause, the reason in the retailer's words, their document and the receivable it reduces. The top of the list shows the Pareto by cause for the last 12 months — flagged causes add up to 80% of the amount and are the first to tackle.

How to

Dispute, accept or reverse a chargeback
Open the penalty and use the header buttons. Dispute (open ones only): write the evidence — the checked shipping notice, the accepted delivery date, the label photo. Accepting requires an approval limit and becomes an expense payable to the retailer: with the receivable still open, it is flagged to be offset against it, up to the receivable balance; with the receivable already settled, it becomes a pending payable. Reverse: when the retailer refunds, enter the outcome and how much came back — the expense is reduced or cancelled.

Rules

Penalty on an order that came through EDI
Type the retailer's order number in "Retailer document". If the order came through EDI, the penalty is linked to the order message, with the date and what was ordered.
Limit in the company currency
The acceptance limit is an amount in the company currency, in the settings (Retailer penalty — acceptance limit). Empty, it is 5,000 reais converted at the day rate into the company currency; with no rate, the limit is zero and every penalty needs someone else to accept. Above the limit, whoever recorded the penalty cannot accept it.

Frequently asked questions

Why doesn’t the Dispute button appear?
Only an open fine can be disputed. If it has already been accepted, use Reverse when the retailer returns the amount, stating the outcome.
