What this screen is for
Before generating Block K, choose the month and click "Check the month": you see how many lines each record gets (items, unit conversions, inventory by possession, movement between items, production and consumption per order, third-party processing, corrections), what was left out of the file and why, and a preview of the lines. "Generate the file" does the same as the Digital books button and stores the file there.
Rules
Movement between items (K220)
Use it when one item becomes another without a work order — reclassification, code change, fabric that starts being tracked as another item. Enter the warehouse, the item and quantity going out, and the item and quantity coming in (units may differ). Posting takes stock out of the source item and puts it into the target at the same value, on the date given; deleting reverses it on the same date. Items with a size/color grid cannot be moved here.
Prior-period correction (K280)
Use it when the inventory of a month already filed was wrong — a production or consumption entry corrected later. Enter the corrected month, the item, the possession (ours with us, ours with a third party, a third party’s with us), the quantity (positive when something was not recorded, negative when too much was) and the reason. The correction goes into the K280 of the file for the month it was posted and does not change today’s stock. The check compares the previous month’s generated file with the inventory recalculated today and suggests the correction with one click.
Unit conversion (0220) and pending items
The 0220 comes from the alternative units registered on the item record (1 alternative unit = factor × main unit). Left out, and shown in the pending items: a unit without a factor, an alternative unit equal to the main one, and the same unit with two different factors. The check also warns about items without a unit (they would go out as UN), without NCM, without the SPED type (left out of the file), negative balances and work orders without consumption. The document blocks (C/D) and the complete 0000 depend on the tax-scope decision — check the file with your accountant before transmitting.
Which file to generate: only Block K + H or the full EFD
In the bar, "File to generate" chooses between the two ways of filing. "Only Block K + H for the accountant" generates Block K and, if ticked, the inventory, for the accountant’s system to import — it is kept in Digital books as Block K. "Full EFD ICMS/IPI" generates the whole file: opening with the company and accountant data, input and output invoices (Block C), ICMS assessment (Block E), inventory, Block K and the Block 9 counts — kept in Digital books as full EFD ICMS/IPI. The choice is saved for the company.
File and accountant data
Profile (A, B or C) and activity (industrial or other) go into the opening record; the profile is set by the state tax office — ask the accountant. The Block K layout is the complete one when the company records production and consumption per work order. In the full EFD you also see: the ICMS revenue code and due day (they go into the ICMS payment record; the table is each state’s), the IPI CST for outputs without IPI (industry) and the accountant’s data (name, CPF, CRC, e-mail and city are mandatory). "Save the data" keeps it for the next months.
What the full EFD includes and what stays with the accountant
It includes the month’s authorized, cancelled and voided output NF-e (only the header and the summary by CST, CFOP and rate, as the Guide requires for own invoices) and the posted input invoices, with items and taxes read from the stored XML (the input CFOP is derived from the supplier’s CFOP and shows up in the items to check). The ICMS assessment is the simple one: output debits minus input credits and the previous month’s credit balance (read from the previous EFD generated here). What stays with the accountant, and shows up in the items to check: assessment adjustments, ICMS-ST, DIFAL, fixed-asset credit (CIAP), CT-e, export proof and the Federal District ISS. Simulated or test-environment invoices are not included. Before filing, validate the file in the Federal Revenue validator with the accountant.
Frequently asked questions
