1What Tenka does for this operation

Each module in the suggested package shows its status in the country. The vertical suggests the modules; the account plan is what unlocks the screens.

How to make up for the missing adapter

  • Service invoice in a city hall that the issuer does not cover yet: issue it on the city hall's portal and record the invoice number on the receivable — finance and margin do not depend on the issuer.
  • Bank without Open Finance: import the statement (OFX or CSV) in Bank reconciliation once a week.

Week 2Tenkai module

What this module does: Your company's assistant and its governance: what it knows, where it speaks, what it can decide on its own — and the trail of everything it answered.

The steps below apply to every company that uses the module; your industry's block adds what is specific to your operation.

Who it is for: whoever wants to put the Tenka agents to work — the Reconciler, the Buyer, assisted closing, receipt forecast, scheduled questions — with rules written by the company and control over how much each agent can do on its own.

What you have at the end: Tenkai knowing how your company talks, the policies applying to every decision, each agent at the autonomy level you chose and the accountability of each: what it saw, what it decided and how much it saved.

Rhythm: 3 weeks. In each step there are two buttons: Open in the system and See the screen's help, both in a new tab.

How the menu is organized (read before you start) (Tenkai module)

The agents live in Improve ▸ Digital employees. What they know and what they can never see is in Registers and settings ▸ Platform and security.

Where What lives there
Improve ▸ Digital employees Digital employees (the showcase), Agent autonomy, Company policies, Agents inbox, Digital employees office, Tenkai Transparency Center, Tenkai decision trail
Registers and settings ▸ Platform and security Tenkai context, Data Tenkai cannot see, Tenkai channels
The agents work on the data that is already in Tenka. Start with them after finance (and, for the Buyer, inventory) has been running in the system for at least a month.

Where agents usually go wrong

  • Starting at EXECUTE. Without a month at SUGGEST, nobody knows whether the agent gets it right. Raise autonomy step by step.
  • Policy only in the owner's head. The agent follows the written policy; what is not written it cannot guess.
  • Empty context. Without the house glossary, Tenkai does not understand what "MP" or "OC" mean in your company.

Questions Tenkai answers after the implementation

  • "What are the agents waiting on from me today?"
  • "How much did the Reconciler save this month?"
  • "Why did the agent suggest this purchase?"

The gates and the routine (Tenkai module)

Week 1 — what Tenkai knows and what it never sees

Week 1 gate: the glossary written, the sensitive data protected and the first three policies published.

Week 2 — the agents, one at a time

Week 2 gate: the first agent working at SUGGEST for a week, with the inbox cleared every day.

Week 3 — trust and accountability

The routine (10 minutes a day): Agents inbox. Once a month: Transparency Center — and raise to REVIEW or EXECUTE only the step that got the whole month right. ✅ Go-live gate: at least two agents working, each step at the autonomy level the company chose, and the Transparency Center showing what each one saved.

Week 2Family module

What this module does: The household finances: credit card with statement, recurrence rules (water, electricity, salary, rent), investments and net worth. It reuses accounts, receivables and payables, reconciliation and Open Finance from Finance.

The steps below apply to every company that uses the module; your industry's block adds what is specific to your operation.

    ReceiveFinanceHousehold cash flow
What to check: month by month, from 3 to 12 months: the balance, what comes in, what goes out and the month that squeezes · Who does it: Finance · Time: 20 min

Week 3Family finances

Who it is for: the family (or families that share accounts) that wants to organize the household money in Tenka — accounts, cards, what repeats every month, the year's bills, debts, goals and net worth — with the income tax coming out ready at the end.

What you have at the end: how much comes in, how much goes out and how much is left in the month, the card statement already counted in the budget, the plan to pay off debts, how much is missing for each goal and the family's net worth on one screen.

Rhythm: 3 weeks, one short task a day. The name of each screen is a link: click it and it opens in a new tab, without losing this guide.

Accounts and cardsWhat repeatsHousehold budgetThe year's billsGoalsNet worth

How the menu is organized (read before you start) (Family finances)

For the family, almost everything lives in Receive ▸ Finance (day to day) and in Registers and settings ▸ Finance (what you register once):

Where What lives there Example
Receive ▸ Finance the household's month Household budget, Household cash flow, The household's future, Family income tax
Receive ▸ Money on the move the entries Financial transactions, Recurring entries, Bank reconciliation
Registers and settings ▸ Finance what is registered once Bank accounts, Credit cards, Household debts, Family goals, Investments
Know numbers to decide Financial alerts
If you cannot find a screen, use the search in the center of the top bar (Ctrl+K) or ask Tenkai "where is the household budget?".

Before you start (Family finances)

  • Gather: each account's statement for the last 3 months (OFX or CSV), the card statements, the list of what is paid every month (rent, school, health plan, electricity), the year's bills (vehicle tax, property tax, insurance, school supplies), debts with balance and interest, and what the family owns (property, car, investments).

Check: the menu shows Receive ▸ Finance with the Household budget.

Where the family usually goes wrong

  • Card posted twice. The card spending goes into the statement; the closed statement becomes the payable. Do not also post the spending as a loose expense, or it counts twice in the budget.
  • Forgotten annual bill. The January vehicle tax "scares" when it was not set aside gradually. Register the year's bills in week 2 and let the budget spread the month of each one.
  • Statement without rules. Without categorization rules, each imported entry needs a category by hand. Create the rules for the 10 most common expenses on day one.

Questions Tenkai answers after the implementation

  • "How much can I still spend this month?"
  • "Which month of the next six will be tight?"
  • "How much is missing for the trip goal?"
  • "Why did grocery spending go up in September?"

The gates and the routine (Family finances)

Week 1 — the month's money

Week 1 gate: the current month reconciled and the Household budget matching what you feel in your pocket.

Week 2 — the year and the debts

Week 2 gate: the year's bills and the debts registered, and the flow of the coming months showing which month is tight.

Week 3 — net worth and the future

If the family rents out property, invests on the stock market or shares accounts

The family's routine (10 minutes a week): Household budget (how the month is going), Household cash flow (the next month that is tight) and Family goals (how much is missing). ✅ Final gate: the month closes without a spreadsheet, each goal shows how much is missing and the family answers "how much can we spend until the end of the month?" by looking at one screen.
